The vendor inventory is Nagata's record of every software and AI vendor your company pays. It's built automatically from your spend CSV uploads and updated whenever you add new data.
What you see
The Vendors page lists every vendor with:
- Name — as normalized from your spend CSV
- Category — e.g. Analytics, CRM, Security, AI Assistant
- Status — Active, Inactive, Under Review, or Archived
- Risk level — Low, Medium, or High
- Owner — the team member responsible for this vendor
- Annual spend — calculated from your transaction history
- Last transaction — date of the most recent charge
- Contract value — populated from an uploaded contract, if available
- Renewal date — from a confirmed contract
Filtering and searching
Use the filter controls at the top of the page to narrow the list:
- Filter by status (Active / Inactive / Under Review / Archived)
- Filter by risk level (Low / Medium / High)
- Filter by category
- Search by vendor name
Editing a vendor
Click any vendor to open the detail view. From there you can:
- Assign an owner — select a workspace member from the dropdown
- Set a department — which team is responsible for this tool
- Edit the business purpose — a short note on why the tool exists
- Change the status — mark as Inactive or Archive if no longer in use
All edits are logged. You can see who changed what in the audit trail.
Vendor statuses
| Status | Meaning |
|---|---|
| Active | Currently paying and in use |
| Inactive | Still has a contract but marked as not actively used |
| Under Review | A recommendation or decision is pending |
| Archived | No longer in use; hidden from active views by default |
Ownerless vendors
Vendors with no assigned owner are flagged. If a vendor costs more than $5,000/year and has no owner, Nagata creates an ownerless-vendor recommendation. The Vendors page shows a count of ownerless vendors at the top.
