Uploading your data

Uploading spend data

Spend data is the foundation of Nagata. Without it, the vendor inventory, duplicate detection, and most recommendations won't run.

What to upload

A CSV of your software vendor transactions. Each row should represent one payment or charge. The minimum columns are:

ColumnRequiredNotes
vendor_nameYesName of the software vendor
amount_usdYesTransaction amount in USD
dateYesTransaction date
categoryNoe.g. "Analytics", "CRM", "Security"
departmentNoe.g. "Engineering", "Marketing"
currencyNoDefaults to USD
sourceNoe.g. "Brex", "Ramp"

Download the exact template from Spend → Upload → Download template.

Supported export formats

Nagata accepts raw exports from:

  • Brex — download transaction CSV from Brex dashboard
  • Ramp — export transactions from Ramp
  • NetSuite — any export with the standard column names
  • Expensify — CSV export from Expensify reports
  • QuickBooks — transaction report export

Column order doesn't matter as long as column names match the template. Column names are case-insensitive.

How to upload

  1. Go to Spend → Upload in the left sidebar.
  2. Click Choose file and select your CSV.
  3. Click Upload.
  4. Nagata processes the file and shows you:
    • How many rows were imported
    • How many were skipped and why
    • Any vendor name normalization that happened

After upload

Nagata groups transactions into vendors, calculates annual spend per vendor, and populates the vendor inventory. The first upload usually takes 5–15 seconds depending on file size.

You can upload multiple CSVs. Nagata merges them into the same vendor list. Re-uploading the same file won't create duplicates.

Common problems

Currency symbols break parsing Remove $ and commas from amount cells before uploading. 1200.50 works; $1,200.50 doesn't.

Mixed date formats in one column Pick one format (YYYY-MM-DD is safest) and apply it consistently.

Vendor names with commas Wrap them in double quotes: "Acme, Inc.". Standard CSV rules apply.

File too large Maximum file size is 10 MB. If your export is larger, split it by date range.

Checking upload status

After uploading, the status indicator shows one of:

  • Pending — file received, not yet processed
  • Processing — Nagata is parsing rows
  • Parsed — complete, rows are in the vendor inventory
  • Failed — something went wrong; the error summary will tell you what
